How Octave's therapist matching process works

Octave's matching process begins with a short intake. After that, you either browse therapists on your own or get help from a Care Navigator to find the right fit.

The process follows four main steps:

  1. Tell Octave about yourself and your goals
  2. Get matched with a therapist, either by browsing or through a guided match
  3. Pick a session time and start therapy
  4. Track progress through measurement-based care

No matter which matching path you choose, you have access to the same network of licensed therapists. Most people are matched within one to three business days, and appointments are usually available within 1-3 days after matching.

The intake helps Octave learn what you need before showing you therapist options or guiding your match.

The intake is quick and practical. It asks for:

  • Your state or location
  • Your insurance provider
  • What you're looking for help with
  • The type of support or specialty that fits your needs

Exact costs vary by plan and are always confirmed before care begins; you can also review insurance and payment information before starting.

How Octave matches you with a therapist

You can find a therapist at Octave in two ways: browse available therapists yourself, or work with a Care Navigator for a guided match. Some people prefer to look through options on their own, while others want help narrowing things down — especially if they're not sure what kind of therapist or approach is best.

Browsing Octave therapists on your own

When you browse Octave therapists, you can review available providers directly and filter by specialty, availability, background, and approach. Each profile includes the therapist's training, the concerns they work with, and how they describe their style.

This option works well if you already have a sense of what you're looking for — help with anxiety, relationship stress, life transitions, trauma, or another specific concern.

Getting a guided match from an Octave Care Navigator

With guided matching, an Octave Care Navigator — a clinically trained team who specialize in helping people find the right therapists — reviews your goals, preferences, and needs to recommend a therapist who fits. If you need specialized care, they may match you with a therapist who is in one of Octave’s Centers of Excellence - providers in these Centers of Excellence have documented training and experience in a specialty area.

For example, if you're looking for a therapist who specializes in trauma and speaks Spanish, a Care Navigator can match you based on those priorities rather than leaving you to sort through profiles on your own. One client described it this way: "I reluctantly signed up, added my preferences, and the very next day they matched me with someone."

All Octave therapists are fully licensed — not trainees or pre-licensed associates. On average, they have over 10 years of experience.

What happens after you're matched with an Octave therapist

Once you're matched with a therapist, you pick a session time that fits your schedule. Octave offers both virtual and in-person therapy, depending on where you are and what's available.

In your first session, you and your therapist talk about why you came to therapy, what you want help with, and what your care plan could look like. Together, you'll set goals and design a plan tailored to your needs.

As therapy continues, Octave uses measurement-based care to track how things are going. This includes regularly administered  assessments like the GAD-7 for anxiety and the PHQ-9 for depression, plus check-ins about your therapeutic alliance — your working relationship with your therapist.

What to do if your Octave therapist isn't the right fit

If your therapist doesn't feel like the right fit, you can ask for help or request a new match at any time.

Not every first match is perfect, and that's okay. You might notice the therapist's style is too structured, not structured enough, too quiet, or too direct — or just not what helps you open up.

You have two options. You can talk directly with your therapist, especially if you think the issue can be worked through together. Or you can contact Octave's support team for guidance or to request a new match. There's no penalty for switching. Octave's goal is the right fit, not just any fit.

Why therapist matching matters for therapy outcomes

Matching matters because therapy depends not just on the type of treatment, but on the relationship between you and your therapist. In psychotherapy research, the fit between a client's needs and a therapist's approach is an active area of study.

A 2025 study in Psychotherapy Research (Jacobsen and colleagues) found that certain types of preference matching were associated with dropout risk — suggesting that finding the right fit is more complex than simply matching by diagnosis or schedule. A 2024 study in Administration and Policy in Mental Health (Coyne and colleagues) found that therapist-level factors moderated match effectiveness in community settings, reinforcing that who you work with shapes how well therapy works.
